Privacy Policy
This Privacy Policy explains how Auxilii Technovations Private Limited (“Auxilii”, “we”, “us”) collects, uses, stores, shares, and protects information when you use Vidii (the “Service”, “Vidii”, “App”).
By using Vidii, you acknowledge that you have read this Privacy Policy.
1) Who this applies to
This policy applies to people using Vidii, including school owners, principals, staff, teachers, reception/admin teams, parents, and job-seekers who submit information through Vidii to request access or share a resume.
2) Roles: school vs Auxilii
• Schools control access to Vidii for their organisation and decide which roles users get.
• For most school operational data, the school acts as the primary decision-maker for what is entered and how it is used within the school’s operations.
• Auxilii operates the platform and provides the Service, including hosting, security, and support.
If you are a parent or job-seeker who self-signs up or submits a request, Auxilii will handle that request and, where relevant, route it to the school for verification/approval.
3) Information we collect
A) Account and profile information
• Phone number (Vidii uses Phone OTP only)
• Role (e.g., management/staff/parent)
• Basic profile details (e.g., name, designation)
• Profile photo (if you upload one)
B) School setup and verification information
• School name, branch details, configuration details
• UDISE code (where applicable/available)
• Onboarding and verification details submitted by the school/admin
C) Operational data created in the Service
Depending on features enabled by the school, this may include:
• Notices, tasks, routines/workflows
• Attendance entries, homework records
• Exam setup, marks/results
• Calendar entries and related records
D) Uploads (photos and documents)
• Photos for school branding and related school content
• Documents for student/staff imports
• Resumes submitted by job-seekers
E) Device, usage, and log information
• Device identifiers and app version
• Basic logs required for security, troubleshooting, and performance
F) Support communications
• Messages and details you share when contacting support by email/phone/WhatsApp
G) Payments
If your school pays for Vidii through Razorpay, we receive payment confirmation and basic transaction references. We do not store full card details; payments are handled by the payment processor under their terms.
4) Permissions used by the App
Vidii may request device permissions to deliver core features, including:
• Camera (to capture images for uploads)
• Photos/Media (to select images for upload)
• Files/Storage (to select documents for upload)
Vidii does not collect location data.
5) How we use information
We use information to:
• Provide, operate, and maintain Vidii for your school
• Verify schools during onboarding
• Manage accounts, roles, and access flows (including parent/job-seeker requests)
• Enable uploads and in-app features (notices/tasks/routines/attendance/exams, etc.)
• Maintain security and prevent misuse
• Respond to support requests
• Improve features, reliability, and user experience
• Meet legal, tax, and compliance requirements
6) Analytics, crash/usage measurement, and notifications
Analytics
We use:
• Firebase Analytics (in-app measurement)
• Google Analytics (typically for website/traffic measurement)
These tools may collect information like device/app identifiers, usage events, and basic diagnostics to help us understand product usage and improve the Service.
Push notifications
Vidii sends notifications using Firebase Cloud Messaging (FCM) to deliver updates such as notices, task alerts, and operational reminders (as enabled by the school and your role).
7) VidiiChat and AI-assisted features
Vidii may include AI-assisted features. Where included in your plan:
• VidiiChat may be available under fair-use
• Credits (where applicable) are used only for AI work actions (writing/rewriting/generating)
• Normal app usage does not consume credits
• We may apply rate limits to prevent spam or misuse
8) How we share information
We do not sell your personal data.
We may share limited information with:
• Service providers who help us run Vidii (e.g., hosting, analytics, messaging/notifications, customer support tools)
• Payment processors (e.g., Razorpay) to process payments and confirmations
• Legal or regulatory authorities if required by law, regulation, or valid legal process
• Your school administrators as part of normal school operations and role-based access
9) Role-based access inside your school
Vidii is designed with role-based access. Users in your school can only access what their role and permissions allow. The school’s administrators control user invitations, roles, and permissions.
10) Storage and security
• Vidii data is hosted in Mumbai, India using our infrastructure providers (including Supabase and Firebase).
• We use reasonable security measures, including access controls and safeguards designed to reduce risk of unauthorised access, misuse, and loss.
No system can be guaranteed 100% secure. If you believe your account has been compromised, contact us immediately.
11) Data retention
We retain information as long as needed to:
• Provide the Service for the relevant school session,
• Support school operations,
• Meet legal and compliance requirements.
Your session-based retention rule applies as your final rule (including deletion timing after session end / starting a new session, as implemented in the Service).
12) Your choices and rights
You may:
• Request access to your account information
• Request correction of inaccurate information
• Request deletion of your data
Delete My Data
You can request deletion via the Delete My Data page: vidii.io/delete-my-data (or the in-app equivalent if provided).
Account deletion requests are processed within 30 days, subject to legal/compliance requirements and legitimate operational needs (e.g., preventing fraud or handling disputes).
13) Children’s privacy
Vidii is a school operations service. Student-related records may be entered by authorised school users as part of operations. We expect schools to have the necessary rights and permissions to manage student records they enter into the Service.
If you believe a child’s information has been provided improperly, contact us and we will review and take appropriate action.
14) Changes to this policy
We may update this policy from time to time. When we do, we will update the Effective date and publish the updated version at: vidii.io/privacy-policy (or the applicable policy URL).
