The event may be later, but venue booking, permissions or practice may need to begin now. Vidii will bring that preparation into the current work view.

Keep the two dates clear

The activity will appear on the Calendar. Preparation will remain in staff tasks. Vidii will not discover events the school has not told it about.

Start with a ready school plan, not a blank AI answer.

The planned flow will look in the Plans Library and school-approved versions first. AI will be used when something genuinely new is needed.

Start with the activity’s prepared tasks, preparation rules and communication.

Bring forward a version the school adjusted and approved before.

Use AI for a real gap

Prepare new content only when the library and saved versions do not fit.

Changing a date, class or title will not need to rebuild the whole plan.

Confirm dates and responsibilities.

Management will review activity dates, preparation dates, classes and the person responsible. Current school roles and approved choices will help prepare the draft; missing decisions will stay visible.

A task count will not prove that someone is available. Unresolved work will not silently be assigned to the Principal.

A PTM may need staff preparation, a parent invitation and a reminder. Plan Ahead will keep the connected work and communication ready for review.

Staff will see the instructions, checklists and due dates leading up to the activity.

Calendar shows the activity

The Calendar will show what is happening and when. Internal preparation will stay out of the parent-facing Calendar.

Notices carry approved updates

School people will review staff and parent messages before scheduling or publishing them.

A notice missing information will wait. Other ready internal preparation will still be able to begin. Planned notices and Vidii Care Reminders are separate features; publishing a notice will not mean every parent has read it.

Activate ready activities.

Management will review the tasks, dates, people, messages and open decisions together. Only approved, ready work will become active. Incomplete activities will stay in draft.

Change a date, class or person.

Vidii will show the affected connected work before management confirms a change. The approved update will apply to unfinished work—not rewrite completed history.

Move the date

Review affected preparation, task due dates, Calendar entries and unsent communication.

Change the class

Check which class-specific tasks and audiences need to change.

Change the person

Review reassignment of unfinished work under the school’s existing rules.

Cancel or postpone without losing history.

Management will review what should stop or move. Completed work, previous records and already-published communication will remain part of the history; cancellation will not erase them.

Vidii DNA is being designed to remember how your school plans and assigns work. It will reuse only choices management has approved, with every saved choice open for review.

Who usually handles the work

Remember which role or person normally handles a responsibility in that branch.

How your school prefers to plan it

Remember approved plan versions, activity days, timings and class-specific differences.

Who should receive the updates

Reuse approved notice audiences, timings and common communication choices.

You will be able to review, change, pause or forget any saved choice. Temporary cover will stay temporary; it will not silently become a permanent rule.

Vidii DNA will not judge employee ability, rank people, change Karma or alter roles and permissions.

Management gets a planning view. Staff keeps a simple work view.

Teachers and staff will continue to see the tasks meant for them, with instructions, checklists and due dates. They will not need to review the whole school programme.

Comments, task updates and reassignment will continue under the school’s existing access rules.

Questions about what is coming.

Is Plan Ahead the same as Routine Scheduler?

No. Routine Scheduler handles school work that repeats today. Plan Ahead is being designed to prepare upcoming activities with their tasks, dates and communication.

Does planning begin only on the 15th?

No. Plan Ahead is being designed to let the school plan or add an activity at any time. The 15th will only be a reminder to review the coming 30 days.

Is planning tied to calendar months?

No. The planned view will normally show today and the next 29 days. It will not restart on the first of each month.

Can I add an activity after other plans are approved?

Plan Ahead is being designed to let you add and review one new activity separately, without rebuilding unrelated approved work.

What does Vidii DNA remember?

Vidii DNA is being designed to remember approved choices about how your branch plans activities, assigns responsibilities and sends updates.

Does Vidii change assignments automatically?

No. Saved choices will be able to prefill a draft or suggest an assignment. Management will review it before the work becomes active.

What happens when a staff member changes?

Vidii is being designed to show the affected unfinished work and help management review reassignment. Completed work and previous records will stay unchanged.

Will teachers use a new planning screen?

No new planning screen is intended for staff. Management will plan ahead; teachers and staff will continue receiving their own tasks in the normal Vidii view.

Does AI publish notices automatically?

No. Generated or edited communication will need review and approval before it becomes active. A draft will not send a parent notice on its own.

Does Plan Ahead include examination planning?

Not in the current planned release. Examination work continues through Vidii’s existing exam features.
